VALT HR Intelligence ("the App") is operated by VALT AI Inc. ("VALT," "we," "us," or "our"), a company incorporated in Nova Scotia, Canada. This Privacy Policy explains what information the App collects, how it is used, and the choices you have. By using the App, you agree to the practices described here.

We are committed to handling your information responsibly and in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

Information We Collect

The App is designed to operate primarily on your device. We collect and process the following:

Business profile information. When you set up the App, you may enter details such as your name, job title, company name, company address, company contact information, number of employees, and industry. This information is stored locally on your device and is used to personalize the guidance, documents, and case files the App produces.

HR questions and content you submit. When you use the "Ask HR AI" feature, the questions you type or speak are sent to our secure servers and to our AI service providers in order to generate a response. When you use the Policy Library, documents you choose to upload are processed to provide analysis and answers.

Camera and photo library. The App can access your device camera and photo library, but only when you choose to attach a photo — for example, to document a workplace incident. Photos you attach are stored locally on your device as part of your case records. We do not access your camera or photo library in the background, and we do not browse your photo library.

Voice and translation data. When you use voice features or the Real-Time Translator, the audio you provide is processed by speech-to-text and text-to-speech service providers to transcribe, translate, and generate spoken output. This audio is used only to deliver the feature you requested.

We do not require you to create an account, and we do not collect a username or password. We do not use third-party advertising or tracking, and we do not sell your information.

How We Use Your Information

We use the information described above only to:

  • Provide jurisdiction-specific HR guidance, documents, and case management within the App;

  • Generate AI responses to your questions;

  • Provide translation, transcription, and voice features;

  • Operate, maintain, and improve the App.

Third-Party Service Providers

To deliver certain features, the App sends limited data to trusted third-party providers who process it on our behalf:

  • Anthropic — processes HR questions to generate AI guidance;

  • OpenAI — provides speech-to-text transcription for voice features;

  • ElevenLabs — provides text-to-speech for spoken output;

  • Railway — hosts the secure backend servers that route requests between the App and these providers.

These providers process your data only to perform their function and are not permitted to use it for their own purposes. We encourage you to review their respective privacy practices.

Data Storage and Retention

Your business profile, case records, and any attached photos are stored locally on your device. This data is not stored on our servers. If you delete the App, this locally stored data is removed with it. Because this data lives only on your device, we recommend you keep your own records of any important information, as we cannot recover it for you.

Questions, documents, and audio sent to our service providers to generate responses are processed transiently to deliver the requested feature and are not retained by us for any other purpose.

Your Choices and Rights

You can control the App's access to your camera and photo library at any time through your device's Settings. You may stop using any feature at any time. Because your data is stored on your device, you can remove it by deleting the relevant records in the App or by deleting the App.

Under applicable Canadian privacy law, you have rights regarding your personal information, including the right to access and correct it. To make a request or ask a question, contact us using the details below.

Children's Privacy

The App is intended for use by businesses and HR professionals and is not directed to children under the age of 13. We do not knowingly collect personal information from children.
